Three jobs we take off your plate

Most of the busywork in a shop or small office is the same few steps, done by hand, every day. Here are three pipelines we build all the time. Each one runs on its own, on a schedule or the moment something arrives, and each one counts as one pipeline on your plan.

Example 1 · Retail

Low-stock reorder list

The busywork: someone opens the inventory report every morning, scrolls for anything running low, works out how many to order, and types up an email per supplier.

  1. WhenEvery morning at 7:00
  2. FetchGet every product and its stock count from your store
  3. CheckFind items at or below their reorder point and work out the quantity to order
  4. DecideAnything to reorder? If not, stop quietly
  5. SendEmail the list, grouped by supplier, to whoever places orders
  6. LogAdd each line to a reorder sheet so you can see what was flagged and when

What you get: a reorder list waiting in your inbox before you open, and a running history of what ran low.

Shown with Shopify, Gmail and Google Sheets. Works the same with WooCommerce, Square, Outlook or Excel.

Example 2 · Any small business

Bills from the inbox

The busywork: supplier invoices arrive as PDFs in email. Someone opens each one, retypes the vendor, amount and due date into the accounting system, and tells the owner it needs paying.

  1. WhenA new email with an attachment arrives
  2. ReadAI reads the PDF and pulls out vendor, invoice number, amount and due date
  3. DecideIs it actually a bill? Newsletters and receipts are left alone
  4. MatchFind the vendor in QuickBooks
  5. EnterEnter the bill in QuickBooks, unpaid
  6. AskPost it to your #bookkeeping channel so a person checks it before it is paid

What you get: no retyping, nothing missed in a busy inbox, and nothing paid without a person saying yes.

Shown with Gmail, QuickBooks Online and Slack. Works the same with Outlook, Xero or Microsoft Teams.

Example 3 · Retail

End-of-day sales wrap-up

The busywork: at close, someone pulls the day's sales report, copies the total into a spreadsheet, and looks up last week to see whether it was a good day.

  1. WhenEvery evening at 9:00
  2. FetchGet today's orders from your store
  3. CompareLook up the same day last week in your sales log
  4. SumWork out total sales, order count, top three sellers and the change on last week
  5. LogAdd today as a new row in the sales log
  6. SendText the owner a one-line summary

What you get: one text a night that tells you how the day went, and a sales history that builds itself.

Shown with Shopify, Google Sheets and Twilio text messages. Works the same with Square, Excel or email.

Your version of it

These are starting points, not fixed products. We fit each pipeline to the tools you already use and the way you already work, then host and monitor it for you — there is nothing to install. One pipeline is $50/month on the Personal plan; all three fit comfortably in Small Business with room for two more.
